Once a link has been set up in Preferences, the following data can be imported from Office Therapy into QuicDoc:
Provider: first and last name, street address, city, state, zip, phone number, license number Insurance Company: company name, contact, street address, city, state, zip, phone number, fax Referral Source: name, street address, city, state, zip, phone number, fax number, email address Client/Patient: first and last name, middle initial, salutation, street address, city, state, zip, work phone, home phone, email address, date of birth, gender, social security number, marital status, date first contact, intake date, employment status
Note: Import providers, insurance companies, and referral sources first, before importing the patients or clients.
Automatically Export Client Data: You can set up an automatic export of client data from QuicDoc to Office Therapy. This option is selected in the QuicDoc Preferences... Links tab. When the option is checked and you add a client in QuicDoc, it will automatically export to Office Therapy. If you change demographic information for a patient in QuicDoc, the information in Office Therapy will also be modified. This automatic export function will also apply to new insurance companies and referral sources. Import Providers from Office Therapy Providers: Providers in Office Therapy are Users in QuicDoc. Unlike users in Office Therapy who are generally administrative staff, users in QuicDoc are the providers of service - therapists and clinicians. Providers from Office Therapy are imported as Users into QuicDoc. Users in QuicDoc are exported to the Provider list in Office Therapy. NOTE: If you have entered a provider in both Office Therapy and QuicDoc, but the name was not imported or was entered differently (e.g. with no middle initial) then there will be no association between the two names. You can match the two provider names by using the match provider feature in QuicDoc. From the File menu select, Data Exchange...Office Therapy Import. You will see a list of all Office Therapy provider names that have not been imported. To import an individual provider, select the name, and click the Import Selected button. For each provider imported, you will be prompted to enter a User ID and Password. To import multiple providers, hold down Ctrl key; select the names; then click the Import Selected button. To import all providers, click the Import All button. Import Insurance Companies and Referral Sources Click the Next button. Then follow the same procedures to import Insurance Companies and Referral sources as you do for Providers. Import Clients/Patients Import providers, insurance companies, and referral sources first. Then click the Next button to import clients.
Filter Clients by Provider: In practices with multiple providers, you can Filter Patients by Provider. Click the down arrow in the Filter field and select a provider from the pick list. The list displays the patient names for the provider selected. Default Provider: If the Office Therapy provider for the patients you are importing has not been imported, then the default provider will be associated with the patients. You can change the default provider by selecting the name from the pick list in the default provider field in the import window, and clicking the Set as Default button. Select the clients to import and click the Import Selected button, or click the Import All button. Click Close when you are finished importing. You may need to refresh the list by clicking on another view before the imported name(s) will appear in QuicDoc. For example, if you import clients, select Providers from the View menu, then select Patients from the View menu to return to the Patient screen. This will refresh the client list. Note: If you have entered a patient in both Office Therapy and QuicDoc, but the name was not imported or was entered differently (e.g. with no middle initial) then there will be no association between the two names. You can link the two names using the Office Therapy Link.
