Creating an appointment

Add Appointment Click on a time slot while in the day or week view in the Scheduler, and then drag your mouse to select a time block.
 

From the Appointments menu or the right click menu, select New Appointment. You can also click the Add Appointment button on the toolbar.  Select one the following: Schedule Patient, Group, Event, Appointment Types, or Availability.
 

To Schedule a Patient

down arrow If scheduling a client that has already been entered in QuicDoc, click the drop-down arrow, to the right of the Patient field and select the name from the list. If not on the list, you can add a new client from the New Appointment window.
 

To Schedule a Group

down arrow If you have set up a Group in QuicDoc, select it from the drop-down list in the Group field.
 

Event or Availability

With the appointment slot selected, select Schedule Event from the right mouse menu, or select Schedule Availability.

 

down arrow Click the down arrow on the Event/Activity or Availability field for a pick list to select an item. You can also type in the field if the item is not on the list. You will be prompted to add the item to the list. Enter additional information (e.g., status, service, location) and the Start and End Times. Check the All Day Event check box if applicable.

 

Simultaneously Schedule a Room

For client and group appointments you can simultaneously schedule a room in the Room Scheduler. Click the down arrow for a pick list of rooms,

 

Browse Button Or click the Browse button to check the Room Scheduler for the date selected. The appointment is listed as Current Appointment until it is saved to the database. Select the room from the pick list. The time is automatically entered for you. Click OK to save the room for the appointment.

 

Patient Work and Home Phone numbers

When scheduling Patients their Work and Home Phone numbers come from the Patient Setup in QuicDoc. They are displayed in the upper right of the window when the appointment is selected, so that you can easily confirm appointments by phone.

 

NOTE: You may edit the phone numbers, but changes will not reflect back to QuicDoc to assure that temporary phone numbers do not become a part of the patient record.

 

All Day Event

Click the All Day checkbox when scheduling an Event or Availability to set the time range for the entire day. This is determined by the Start and End Time you set up in the Scheduler preferences.

Click OK.

 

Appointment Notes

You can add a note for every type of appointment you enter in the Scheduler. Enter Notes in the New/Edit Appointment window. Type your note in the Note text box provided. Click Ok.

When you select an appointment that has an associated note, the note appears in the center pane, on the right side, of the Day View in the Scheduler.

 

Conflicts

The scheduler will identify and advise of any scheduling conflicts. You can choose to reschedule or accept the appointment(s). Click the Accept button to keep the schedule. Click the Reschedule button to change the appointment time.

 

Edit Appointments

Select the appointment in the Scheduler that you want to change. From the Appointment menu, or on the pop-up right mouse menu, click Edit Appointment. Make the changes, and click OK to save.

If you want to move the appointment to another day or time, you can click the appointment, and then drag it to the day (Week View) or time you want (Day or Week View), or modify the length.

north south arrow To move the entire appointment, move cursor to the top border of the appointment. The cursor will change to a North-South arrow. Click and drag the appointment to the desired time slot or the desired day. To change the appointment duration, click the bottom border of the appointment and drag it up or down to change the length.

You can also change the name or description of an activity or event, by clicking in the appointment slot, modifying the name or description, and then clicking out of slot. This will not, however, add the new name to the pick list.

 

Deleting an appointment

Click on the appointment in the Scheduler that you want to delete. On the Appointment menu, or on the pop-up right mouse menu, click Delete Appointment.
